Policies, Waiver & Code of Conduct
Archived Policy – Effective Through August 5, 2026
This policy applies to registrations submitted on or before August 5, 2026. For registrations submitted on or after August 6, 2026, please review the current IAC Programs & Events policies.
This page serves as the centralized policy, waiver, code of conduct, parent/guardian consent, and participation acknowledgment page
for IAC MAGENÂ teen programs, including fellowships, leadership programs, trainings, meetings, events, and related activities.
Please review these terms before submitting a registration form for a teen participant.
IAC MAGEN Teens Programs
This section applies to participants in IAC MAGEN teen programs, including the IAC MAGENÂ Fellowship for Teens, teen leadership programs, trainings, meetings, events, and related activities.
A parent or legal guardian must complete and submit the required registration, consent, waiver, and acknowledgment forms for teen participants.
By submitting the form on behalf of a teen participant, the parent or legal guardian confirms that they have reviewed and accepted the applicable IAC MAGENÂ Teen policies, waiver, code of conduct, media release, cancellation/refund policy, communication terms, participation expectations, and any health, safety, allergy, medical, or accommodation requirements.
Teen participants are expected to participate respectfully, responsibly, and in alignment with the values, expectations, and safety standards
of IAC MAGENÂ and the Israeli-American Council.
Application and Selection Process
Certain IAC youth programs may include an application, interview, review, or selection process. Submission of a registration or application form does not guarantee acceptance. Admission decisions may be based on program criteria, participant eligibility, available capacity, group composition, and other relevant considerations. Applicants will be notified separately regarding their acceptance status.
Parent/Guardian Consent & Authorization
For any participant under the age of 18, a parent or legal guardian must complete the applicable registration, waiver, consent, and acknowledgment forms.
By registering a teen participant for an IAC MAGENÂ program, event, training, activity, or gathering, the parent or legal guardian confirms that the teen has permission to participate and that the parent or legal guardian has provided accurate health, allergy, medical, dietary, accessibility, swimming ability, and accommodation information when relevant.
Parents or legal guardians are responsible for determining whether the teen participant is able to participate safely and for ensuring that the teen understands and follows all behavior, safety, attendance, and participation expectations.
Emergency Medical Care for Minors
In the event of a medical emergency, if a parent or legal guardian cannot be reached, the parent or legal guardian authorizes IAC staff
or authorized representatives to seek appropriate emergency medical care for the teen participant.
The parent or legal guardian remains responsible for any medical costs or related expenses, except where prohibited by law.
Attendance & Participation Expectations
Teen participants are expected to attend and participate in the IAC MAGENÂ teen program, training, session, meeting, event, or activity for which they registered.
Some IAC MAGENÂ teen programs may include specific attendance, participation, or completion expectations. When such expectations apply, they will be communicated through the registration form, program page, event page, or program materials.
Failure to meet participation expectations, repeated absences, or conduct that interferes with the program experience may result in removal from the program or activity, at IAC’s discretion.
Code of Conduct, Behavior & Discipline
All teen participants are expected to:
- Participate respectfully and constructively in all program activities, trainings, meetings, events, and communications.
- Respect the privacy, safety, and dignity of other participants, speakers, staff, volunteers, and community members.
- Follow all instructions provided by IAC staff, program leaders, facilitators, trainers, security personnel, and authorized representatives.
Refrain from disruptive, discriminatory, threatening, harassing, bullying, inappropriate, or unsafe behavior. - Use program materials, WhatsApp groups, Zoom sessions, shared resources, and communication channels only for their intended program-related purposes.
- Comply with all venue, security, safety, health, and program guidelines communicated by IAC staff or authorized representatives.
IAC reserves the right to refuse registration, deny participation, remove a participant from an activity, suspend participation, or cancel participation in an IAC MAGEN teen program, event, training, or activity if a participant’s behavior is unsafe, disruptive, discriminatory, threatening, harassing, bullying, inappropriate, violates program expectations, or may negatively impact the safety, experience,
or wellbeing of others.
For teen participants, parents or legal guardians are responsible for ensuring that the teen understands and follows the applicable behavior, safety, attendance, and participation expectations.
Active Participation, Health & Safety
Some IAC MAGENÂ programs, events, trainings, or activities may include active, physical, outdoor, or water-related participation, and may take place at IAC facilities, partner venues, public spaces, private residences, or other third-party locations.
Participation is voluntary. Participants are responsible for determining whether they are physically and medically able to participate safely and for following all safety instructions provided by IAC staff, instructors, facilitators, venue staff, lifeguards, security personnel, hosts,
or authorized representatives.
Participants understand that participation may involve inherent risks, including but not limited to physical activity, accidental contact, falls, injury, weather-related risks, water-related risks, or other risks associated with the activity.
For teen participants, parents or legal guardians are responsible for determining whether the minor is able to participate safely and for providing any relevant health, allergy, medical, dietary, swimming ability, or accommodation information in advance.
Allergies, Medical Conditions & Special Accommodations
Participants are responsible for informing IAC in advance of any allergies, medical conditions, dietary restrictions, accessibility needs,
or other special accommodations that may be relevant to their participation in an IAC MAGENÂ program, event, training, activity, or gathering.
While IAC will make reasonable efforts to support known needs when possible, participants acknowledge that IAC cannot guarantee an allergen-free environment, including with respect to food, beverages, venues, vendors, partners, or items provided by other participants.
For minor participants, parents or legal guardians are responsible for providing any relevant allergy, medical, dietary, accessibility, swimming ability, or accommodation information during registration or before participation.
Waiver and Release
By participating in IAC MAGENÂ activities, participants acknowledge that participation may include in-person or virtual trainings, discussions, group activities, community engagement opportunities, rallies, meetings, travel, and related communications.
Participants agree to release and hold harmless the Israeli-American Council (IAC), its staff, officers, board members, volunteers, partners, affiliates, and representatives from liability related to participation, except where prohibited by law.
Cancellation / Refund Policy
Unless otherwise stated on a specific IAC MAGEN registration form, event page, or program page, IAC MAGENÂ event and program registrations, ticket purchases, cancellations, and refund requests are subject to the applicable IAC cancellation and refund policy.
For paid IAC MAGENÂ training registrations, participants who notify IAC of their cancellation at least 48 hours before the scheduled start time will be eligible for a refund, unless different terms are stated on the registration form, event page, or program page.
Registrations are non-transferable unless otherwise approved by IAC in writing. Certain payment-processing fees may be non-refundable where applicable. Participants should review the IAC cancellation and refund policy and any IAC MAGENÂ event-or program-specific terms before registering or purchasing a ticket.
IAC reserves the right to cancel, reschedule, relocate, or modify an event, program, training, session, or activity due to safety, security, weather, operational needs, low enrollment, speaker availability, venue requirements, or other circumstances.
If an event or program is canceled, rescheduled, or materially changed, IAC will communicate relevant updates and any applicable refund, credit, or transfer options in accordance with the applicable policy and registration terms.
Participant Notification
If IAC cancels, reschedules, relocates, or materially changes a youth program, event, training, session, or activity, IAC will make reasonable efforts to notify registered participants and/or their parent or legal guardian, as applicable, as soon as reasonably practicable using the contact information provided during registration and/or the communication channels associated with the applicable program or event.
Participants and their parents or legal guardians are responsible for providing accurate and current contact information and for reviewing communications and updates related to the participant’s registration.
In circumstances involving safety, security, weather, emergencies, or other events outside IAC’s reasonable control, advance notice may not always be possible.
Media Release
Participants understand that IAC may photograph, record, or capture photo, video, audio, screenshots, or other media during IAC MAGENÂ activities.
By attending or participating, participants consent to IAC using their image, likeness, voice, and/or recording (and their child’s, if applicable)
in IAC materials, including website, email, print, social media, marketing, communications, educational, reporting, promotional, fundraising, and organizational purposes, without compensation, unless IAC is notified in writing otherwise.
Participants who have concerns about being photographed, recorded, or identified should notify IAC staff in advance or upon arrival. IAC will make reasonable efforts, within practical and technical limitations, to accommodate those concerns, including avoiding identifiable close-up images or obscuring identity where reasonably feasible. However, IAC cannot guarantee that a participant will not appear incidentally in group, crowd, or background images or recordings.
Communications Consent
Participants understand that they may receive updates, reminders, news, program information, and communications from the Israeli-American Council (IAC) related to IAC MAGENÂ and other IAC programs.
Participants may unsubscribe from marketing communications at any time.
Information Sharing with Service Providers and Partner Organizations
IAC may share information provided through registration forms or during participation with authorized service providers, vendors, program partners, co-hosting organizations, and other third parties when reasonably necessary to administer programs or events, process registrations or payments, coordinate jointly operated activities, provide participant support, support participant safety, communicate with participants, or operate related technology platforms.
For programs or events organized in partnership with another organization, relevant participant information may be shared with the partner organization when necessary for event administration, coordination, communication, safety, or delivery of the applicable program or event.
Such information will be shared only as reasonably necessary for the applicable purpose and in accordance with IAC’s privacy practices and applicable law. For participants under the age of 18, this may include information provided by a parent or legal guardian on behalf of the participant.
Use of Data Analysis and AI-Assisted Tools
IAC MAGEN may use approved data analysis and AI-assisted tools to support program operations, safety, reporting, engagement tracking,
and program improvement across program-related communication channels, including but not limited to WhatsApp groups, email, forms, surveys, and other digital platforms.
