Policies, Waiver & Code of Conduct

This page serves as the centralized policy, waiver, and code of conduct acknowledgment page for IAC programs, trainings, task forces, events, rallies, community activities, family activities, volunteer activities, and related initiatives.

Please review the policy terms before registering or participating.

IAC Programs & Events
This section applies to participants in IAC programs and events, including MAGEN Onboarding Days, On The Job Training sessions, task forces, trainings, meetings, rallies, community events, family events, volunteer activities, and related in-person or virtual activities.
By registering for or participating in an IAC program, event, training, session, rally, or community activity – whether in person or virtual – participants confirm that they have read, understood, and accepted the applicable IAC policies, waiver, code of conduct, media release, cancellation/refund policy, and participation terms.
Participants are expected to engage respectfully, responsibly, and in alignment with IAC’s values, program expectations, safety standards, and community guidelines.
This section may apply to adult participants, parents/guardians, minors participating with a parent or legal guardian, family members, volunteers, community members, and other attendees participating in IAC activities.

General Participation Policies
This section applies to all participants in IAC programs and events, including adults, minors, parents/guardians, family members, speakers, volunteers, staff, and attendees.

Minors, Family Participation & Parent/Guardian Authorization
Some IAC programs, events, rallies, community activities, and family registrations may include minors who are not enrolled in a dedicated youth program.
For any participant under the age of 18, a parent or legal guardian is responsible for completing the applicable registration, waiver, consent, and acknowledgment forms.
By registering a minor for an IAC program, event, training, activity, or gathering, the parent or legal guardian confirms that the minor has permission to participate and that the parent or legal guardian has provided accurate health, allergy, medical, dietary, accessibility, swimming ability, and accommodation information when relevant.
Parents or legal guardians are responsible for determining whether the minor is able to participate safely and for supervising minors during IAC activities unless otherwise stated in the specific program or event terms.

Emergency Medical Care for Minors
In the event of a medical emergency involving a minor participant, if a parent or legal guardian cannot be reached, the parent or legal guardian authorizes IAC staff or authorized representatives to seek appropriate emergency medical care for the minor participant.
The parent or legal guardian remains responsible for any medical costs or related expenses, except where prohibited by law.

Code of Conduct, Behavior & Participation Expectations
All participants are expected to:

  • Participate respectfully and constructively in all program activities, trainings, meetings, events, and communications.
  • Respect the privacy, safety, and dignity of other participants, speakers, staff, volunteers, and community members.
  • Follow all instructions provided by IAC staff, program leaders, facilitators, trainers, security personnel, and authorized representatives.
  • Refrain from disruptive, discriminatory, threatening, harassing, inappropriate, or unsafe behavior.
  • Use program materials, WhatsApp groups, Zoom sessions, shared resources, and communication channels only for their intended program-related purposes.
  • Comply with all venue, security, safety, health, and program guidelines communicated by IAC staff or authorized representatives.

IAC reserves the right to refuse registration, deny participation, remove a participant from an activity, suspend participation, or cancel participation in an IAC program, event, training, or activity if a participant’s behavior is unsafe, disruptive, discriminatory, threatening, harassing, inappropriate, violates program expectations, or may negatively impact the safety, experience, or wellbeing of others.

Active Participation, Health & Safety
Some IAC programs, events, trainings, or activities may include active, physical, outdoor, or water-related participation, and may take place at IAC facilities, partner venues, public spaces, private residences, or other third-party locations.
Participation is voluntary. Participants are responsible for determining whether they are physically and medically able to participate safely and for following all safety instructions provided by IAC staff, instructors, facilitators, venue staff, lifeguards, security personnel, hosts, or authorized representatives.
Participants understand that participation may involve inherent risks, including but not limited to physical activity, accidental contact, falls, injury, weather-related risks, water-related risks, or other risks associated with the activity.
For minor participants, parents or legal guardians are responsible for determining whether the minor is able to participate safely and for providing any relevant health, allergy, medical, dietary, swimming ability, or accommodation information in advance.

Allergies, Medical Conditions & Special Accommodations
Participants are responsible for informing IAC in advance of any allergies, medical conditions, dietary restrictions, accessibility needs, or other special accommodations that may be relevant to their participation in an IAC program, event, training, activity, or gathering.
While IAC will make reasonable efforts to support known needs when possible, participants acknowledge that IAC cannot guarantee an allergen-free environment, including with respect to food, beverages, venues, vendors, partners, or items provided by other participants.
For minor participants, parents or legal guardians are responsible for providing any relevant allergy, medical, dietary, accessibility, swimming ability, or accommodation information during registration or before participation.

Waiver and Release
By participating in IAC activities, participants acknowledge that participation may include in-person or virtual trainings, discussions, group activities, community engagement opportunities, rallies, meetings, travel, and related communications.
Participants agree to release and hold harmless the Israeli-American Council (IAC), its staff, officers, board members, volunteers, partners, affiliates, and representatives from liability related to participation, except where prohibited by law.

Cancellation / Refund Policy
The following cancellation and refund terms apply to paid IAC programs, events, trainings, and related activities.

Single Events and Trainings
A single event or training is an activity consisting of one scheduled session.
Participants who submit a cancellation request at least 48 hours before the scheduled start time will be eligible for a full refund of the applicable registration fee.
Cancellation requests received less than 48 hours before the scheduled start time will not be eligible for a refund.

Ongoing and Multi-Session Programs
An ongoing or multi-session program is a program consisting of two or more scheduled sessions.

  •  A cancellation request submitted at least seven calendar days before the first scheduled session will be eligible for a full refund.
  • A cancellation request submitted less than seven calendar days before the first scheduled session, or after the first session but before the second scheduled session begins, will be eligible for a 70% refund.
  • No refund will be issued after the second scheduled session begins.

Refund eligibility is determined according to the program’s published schedule, regardless of whether the participant attended the first or second session.

Failure to Attend or Removal From a Program
Failure to attend an event, training, session, or program does not constitute a cancellation and will not be eligible for a refund.
A participant who is removed, suspended, or dismissed from a program or activity due to conduct, safety concerns, repeated absences, failure to meet participation expectations, or violation of IAC policies will not be eligible for a refund.

Transfers and Processing Fees
Registrations are non-transferable unless otherwise approved by IAC in writing. Certain payment-processing fees may be non-refundable where applicable.
Approved refunds will be issued to the original payment method. Processing times may vary depending on the payment provider or financial institution.

Cancellation by IAC
If IAC cancels a paid event or program in its entirety, participants will be eligible for a full refund of the applicable registration or program fee.
When an appropriate alternative is available, IAC may also offer participants the option to transfer their registration to another session, program, event, or location.

Program Changes
IAC reserves the right to reschedule, relocate, or modify an event, program, training, session, or activity due to safety, security, weather, operational needs, low enrollment, speaker availability, venue requirements, or other circumstances.
A one-time change to a meeting date, time, location, facilitator, format, or program schedule does not automatically entitle a participant to a refund.
If IAC makes a permanent and material change to the primary location, schedule, or format of an ongoing program and the participant is unable to continue, IAC will communicate the applicable prorated refund, credit, or transfer options.

Exceptional Circumstances
Requests based on exceptional medical, family, or personal circumstances may be reviewed individually by IAC. Supporting documentation may be requested.
Approval of an exception is at IAC’s discretion and does not create an obligation to approve similar requests in the future.

Media Release
Participants understand that IAC may photograph, record, or capture photo, video, audio, screenshots, or other media during IAC activities.
By attending or participating, participants consent to IAC using their image, likeness, voice, and/or recording (and their child’s, if applicable) in IAC materials, including website, email, print, social media, marketing, communications, educational, reporting, promotional, fundraising, and organizational purposes, without compensation, unless IAC is notified in writing otherwise.
Participants who have concerns about being photographed, recorded, or identified should notify IAC staff in advance or upon arrival. IAC will make reasonable efforts, within practical and technical limitations, to accommodate those concerns, including avoiding identifiable close-up images or obscuring identity where reasonably feasible. However, IAC cannot guarantee that a participant will not appear incidentally in group, crowd, or background images or recordings.

Communications Consent
Participants understand that they may receive updates, reminders, news, program information, and communications from the Israeli-American Council (IAC) related to IAC programs and activities.
Participants may unsubscribe from marketing communications at any time.

Use of Data Analysis and AI-Assisted Tools
IAC may use approved data analysis and AI-assisted tools to support program operations, safety, reporting, engagement tracking, and program improvement across program-related communication channels, including but not limited to WhatsApp groups, email, forms, surveys, and other digital platforms.
